Privacy Policy

VietEntry ("VietEntry", "we", "us") helps foreign travellers apply for Vietnamese visas and book travel services. Because our service handles passport information and identity photos, protecting your data is central to how we operate. This policy explains what we collect, why, who we share it with, and the rights you have over it.

We handle passport details and facial images as sensitive personal data. We never sell your data, and we ask for your explicit consent before using your photo for identity verification.

1. Information we collect

  • Account information — your name, email address, and password (stored only as a secure hash).
  • Passport & identity data — passport number, full name, date of birth, nationality, expiry date, and a photo of your passport data page.
  • Facial / portrait image — a selfie or portrait used to confirm it matches your passport photo (biometric identity verification).
  • Application & travel data — visa type, processing time, travel dates, and supporting documents you upload.
  • Booking data — tours, eSIM, or guide services you order, and the contact details you provide for them.
  • Payment data — processed by our payment provider (Stripe). We do not store your full card number on our servers.
  • Device & usage data — device push token (to send you notifications), app language, and basic technical logs.

2. How we use your information

  • To create and manage your account.
  • To prepare and process your visa application, and to deliver your visa documents to your email.
  • To verify your identity by comparing your portrait with your passport photo.
  • To read passport fields automatically from your uploaded photo (to save you typing).
  • To process payments and manage your bookings.
  • To send you service notifications (application status, payment, booking updates).

3. Legal basis (for EU/EEA/UK users)

We process your data to perform our contract with you (providing the visa and travel services you request), to comply with legal obligations, and — for biometric identity verification — on the basis of your explicit consent, which you may withdraw at any time.

4. Who we share it with

We use trusted third-party processors to run the service. Your data may be processed by them, including in countries outside your own:

  • Amazon Web Services (AWS) — secure file storage (S3) and facial comparison (Rekognition) for identity verification.
  • Anthropic (Claude) — reads text from your passport photo to auto-fill fields.
  • Stripe — payment processing.
  • Google Firebase — delivery of push notifications.
  • Email delivery provider — to send verification codes and documents.

We share the minimum data necessary with each provider, and only to deliver the service. We do not sell your personal data.

5. Data retention

We keep your personal data only as long as needed to provide the service and to meet legal obligations. When you delete your account, we remove your login, passport details, and identity photos, and delete your stored images. Certain transaction records (for example payment and submitted-application records) may be retained in anonymised form where required by law.

6. Your rights

  • Access & correction — view and update your information in the app.
  • Deletion — you can delete your account and associated personal data at any time from Settings → Delete account in the app.
  • Withdraw consent — you can withdraw consent for identity verification; note this may prevent us from completing a visa application.
  • EU/UK residents — you also have rights to portability, restriction, and to lodge a complaint with your data protection authority.

7. Security

We use industry-standard measures to protect your data, including encrypted connections (HTTPS), access controls, and secure cloud storage. No method of transmission or storage is completely secure, but we work continuously to protect your information.

8. Children

VietEntry is not directed at children under 16. A parent or legal guardian may submit an application on behalf of a minor travelling with them.

9. Changes to this policy

We may update this policy from time to time. Material changes will be notified in the app or by email. The "Last updated" date above shows the latest revision.
